Matching

One payment, several invoices: Zettl matches them together

A marketplace order (Amazon, say) often comes as several invoices from different sellers, while one payment leaves your account. Zettl recognises such invoices and matches them with the payment as a group when their sum agrees exactly.

How it works

  1. The PDF is split

When one PDF holds several invoices, AI splits them into separate documents that stay linked as one group.

  2. The sum against the payment

Zettl looks for documents whose sum matches the payment to the cent, in the same currency and within 7 days. It tries the whole group from one PDF first.

  3. Only an unambiguous fit

It matches automatically only when exactly one combination of documents fits. Otherwise it leaves the call to you.

  4. By hand, with a running sum

Pick several documents for a payment and Zettl shows whether the sum fits, or how much is missing or extra.

Good to know

  • Automatically, Zettl matches at most 6 documents with one payment.
  • The reverse, one document paid in several payments (instalments, say), you match by hand: Zettl offers payments within 45 days of the document date and pre-selects the ones whose sum fits.
  • Undoing removes the whole group at once.
  • In the monthly PDF bundle a shared PDF is attached once; the summary lists every invoice.

Frequently asked questions

Short answers on this topic.

How do I match an Amazon order split into several invoices?

Forward the invoices to Zettl. When their sum matches one card payment exactly, in the same currency and within 7 days, Zettl matches them as a group on its own. Otherwise pick them for the payment by hand and Zettl shows whether the sum fits.

What if I pay one invoice in several payments?

You match that by hand: pick several payments for the document. Zettl offers payments within 45 days of the document date and pre-selects the combination that fits.

What if the invoices don't add up to the cent?

The sum rule expects an exact match. AI may still match the payment when the difference is within 5%; otherwise you match it by hand, and Zettl shows how much is missing or extra while you pick.
