For sole traders

Monthly close for sole traders with Fio: a checklist

Closing the month means having every movement from your Fio account, a document for every outgoing payment, issued invoices matched, and everything handed to your accountant. Go through the six steps below; you can do them by hand with a statement and free tools, or Zettl does them for you as the month goes.

6 steps

How it works

  1. The whole month's Fio movements

By hand: download a GPC/ABO statement at Fio and turn it into Excel with the free tool. In Zettl: the movements come in through the Fio API every morning.

  2. Documents in one place

Received invoices and receipts from e-mail, paper and e-shops. In Zettl you forward them to the company's e-mail address; a paper receipt is a photo.

  3. A document for every payment

Go through the outgoing payments and find each one's document by amount, date and vendor. Zettl matches them itself and leaves what doesn't fit open.

  4. Chase what is missing

List the payments without a document and track them down. In Zettl they're on the Missing documents page; bank fees, tax and insurance payments to accounts at the Czech National Bank and transfers between your own accounts are suggested as needing no document.

  5. Issued invoices and incoming payments

Check which invoices your customers have paid. Zettl matches incoming payments with issued invoices by variable symbol.

  6. Hand the month to your accountant

Documents as PDF, payments as CSV, issued invoices as ISDOC or XLSX, XML for POHODA. Zettl can e-mail the month to your accountant by itself or send it into POHODA through mServer.

Good to know

  • Zettl doesn't keep the books or file returns. It prepares matched payments and documents; your accountant handles bookkeeping and taxes.
  • Filing and advance deadlines depend on what you're registered for. The current dates are in the Finanční správa (Czech tax administration) tax calendar.
  • Without further authorization the Fio API releases only the last 90 days of movements. For older months, use a GPC/ABO statement.
  • Whether a given payment needs a document is your accountant's call in the end. Zettl only suggests.

Frequently asked questions

Short answers on this topic.

When should I close the month?

After the last day of the month, once you have all the Fio movements, and before your accountant needs the documents. Agree the date with them.

Can I do this without Zettl?

Yes. Turn a Fio GPC/ABO statement into Excel with the free tool and match documents to payments by hand in the spreadsheet. Zettl does steps 1 to 5 as the month goes and can send step 6 automatically.

What if I can't find a payment's document?

Ask the vendor for a copy; many invoices can also be downloaded from their customer accounts. Until you have it, leave the payment open and tell your accountant about it.

How do I get the month into POHODA?

The free tool turns a GPC statement's bank movements into XML for POHODA. Zettl prepares XML with the received documents and the movements, or sends the month into POHODA directly through mServer.

Let your payments match themselves

Connect your Fio account and Zettl finds the documents for your payments. The first 14 days are free, no card needed.
